2. Data we process
When you register as a dealer or contact us, we may process: name, work email, phone, dealership and company details (legal name, VAT number, address), vehicle interests, sourcing specifications, and documents you upload during onboarding. When you send a specification through the sourcing service on the public site, we process the name, company, work email and phone number you enter together with the specification (make, model, budget, delivery market, mandate, optional link and notes). The request is stored on our portal server and emailed to our buyers. Landed-cost calculations, CO₂ look-ups against the EU type-approval register and VAT-number checks against VIES are performed without storing personal data; the VAT number you type is forwarded to the European Commission's VIES service only to validate it. Browsing the public site does not require an account.
When you submit a dealer application, the form data and the documents you upload (company registration certificate, VAT certificate) are sent as an email from our web host to our verification team. Until we open your account in the dealer portal, a copy of the application is kept only in your own browser.
Visit log (with your consent)
If you accept the banner shown on your first visit, we log your visits on our own portal server: the pages you view, time on page, how often you return, your IP address, the organisation the IP address is registered to (looked up in the public RDAP registry and reverse DNS), country, browser, device, language and the delivery market you selected. A random visitor id is stored in your browser so that repeat visits can be linked. If you later send a sourcing request or register, that request is linked to your visit history so our buyers can follow up. We do not use this for advertising and share it with no one. Legal basis: your consent, GDPR Art. 6(1)(a). You can withdraw it at any time under “Privacy settings” in the footer, which stops the logging; the visit log itself is deleted after 90 days. If you decline, nothing is recorded beyond the web host's ordinary server log.
Online buyer agreement
When you sign the buyer agreement online, we store the company details you enter, the name and title of the person signing, the signature as an image, the place, the date and time, your IP address and your browser identification. We use this to conclude and document the contract and to be able to prove that it was signed. Legal basis: performance of a contract, GDPR Art. 6(1)(b), and our legitimate interest in being able to prove the agreement, Art. 6(1)(f). The signed agreement is stored on our portal server in Germany and sent by e-mail to our team and to you.
3. Purpose and legal basis
We process data to respond to enquiries, operate dealer accounts, perform AML/KYC checks, and fulfil contracts. Legal bases: GDPR Art. 6(1)(b) (contract / pre-contractual) and Art. 6(1)(c) (legal obligation for AML).
4. Recipients (sub-processors)
- Simply.com A/S (Denmark, EU) — hosting of the public website greenmotion-auction.com and transmission of dealer applications by email.
- Hetzner Online GmbH (Germany, EU) — hosting of the dealer portal dealers.greenmotion-auction.com, including sourcing requests and dealer accounts.
5. Retention
Visit log: 90 days. Enquiry, sourcing-request and registration data: 24 months unless a commercial relationship is established, then per Buyer Agreement and Hungarian commercial law (typically 8 years for accounting records). Signed buyer agreements: for the duration of the customer relationship and five years after it ends.
6. Your rights
Under GDPR Articles 15–22 you may request access, rectification, erasure, restriction, portability, or object to processing. Email info@greenmotion-auction.com — we respond within 30 days.
